Submitting an enquiry with Locker 9 Live services, may send your enquiry to Locker 9 Ltd. It does not automatically send it to a separate Locker 9 Live recipient.

Information we collect

When you send an enquiry, we collect your first name, last name if provided, email address, selected project or service type, the page from which you submit the form, and the message you submit. We also receive information you provide in follow-up correspondence. Please do not include payment-card details, identity documents, medical information or other sensitive information in the enquiry form.

Our hosting and security providers may process technical information such as IP addresses, browser information, request times and requested URLs to deliver the website and detect abuse.

We obtain enquiry and booking information from you or from the person or organisation making arrangements on your behalf. If you provide other people's details, please give them this notice and provide only information needed for the service. First name, email and message are required to use the form; last name and project type are optional. We need enough accurate contact and project information to respond or prepare a quote. You can also contact us by email. Providing an enquiry does not oblige you to make a booking.

Why we use it and our lawful bases

We use enquiry information to respond, discuss your requirements, prepare quotes and manage follow-up correspondence. For business enquiries, our lawful basis is our legitimate interest in responding to potential customers and providing our services. Where you enquire as an individual about entering into a contract with us, we may instead rely on taking steps at your request before entering that contract. If you proceed with a booking, we use the information needed to arrange and manage the requested services, relying on performance of our contract with you where applicable, or our legitimate interests in arranging services for business customers and their passengers.

We rely on our legitimate interests in operating a reliable, secure website and preventing spam and misuse for necessary technical and security processing. Where applicable, we also retain information to meet legal obligations or establish, exercise or defend legal claims. Enquiry details are not used to sign you up for unrelated marketing.

Who processes your information

Website enquiries are processed by a server-side function hosted by Netlify and sent through Resend to the designated mailboxes used by authorised people handling enquiries for Locker 9 Ltd. Our business email service is currently provided through GoDaddy. These providers process enquiry information as needed for hosting, email delivery, storage and security.

Netlify, Resend, our mailbox provider and their service providers process information as needed to deliver and secure these services. We do not sell enquiry information or automatically distribute it to vehicle suppliers or other group companies through this website.

If you ask us to obtain a quote or arrange a booking, we may share the personal information necessary for that request with the relevant vehicle rental companies, chauffeur or transfer operators, coach companies, drivers and booking partners. This may include passenger names, contact details, collection and destination details, travel dates and times, and vehicle or service requirements supplied during the enquiry or booking. We share only what is needed to quote for, arrange or deliver the service.

Where LOCKER 9 LIVE LIMITED provides the requested service, we may share the necessary booking information with it for that purpose. We identify the relevant service provider when arranging the booking. Some suppliers act as independent data controllers and handle information under their own privacy notices, which you can request from them. Information may also be disclosed where required by law.

Processing outside the UK

Our providers and booking suppliers may process information outside the UK, including where you request transport in another country. Where a restricted international transfer is necessary, we require appropriate protection, such as an applicable adequacy arrangement or approved contractual safeguards. These can include the UK International Data Transfer Agreement or the UK Addendum to EU Standard Contractual Clauses, as applicable. Contact us for details of the safeguards relevant to your information and how to obtain a copy.

How long we keep information

For enquiries that do not result in a booking, we normally delete the enquiry and related correspondence within two years of our last substantive contact. This covers copies held in designated enquiry mailboxes, including personal accounts used to receive notifications. Enquiry emails are sent through Resend using Netlify's hosting environment. Resend processes email content and delivery records under its provider retention settings.

If an enquiry becomes a booking, relevant correspondence becomes part of the customer record and is normally deleted within two years of completion of the booking. Technical records are normally retained for no longer than two years. Information needed to meet accounting or legal obligations, resolve an active dispute, or investigate an unresolved security incident may be retained longer where necessary.

Two years is our normal maximum retention period, not a reason to keep information we no longer need. We may delete it sooner. Locker 9 Ltd is responsible for reviewing and deleting the information it holds in its designated email accounts.

Keeping information secure

We use access controls and appropriate technical and organisational measures to protect information, and limit access to people and providers who need it for the purposes described here. No internet service is completely risk-free. Please contact us if you believe your information has been exposed or misused.

Cookies and tracking

Our website code does not set analytics or advertising cookies or use advertising pixels. It does not save enquiry details to cookies or browser storage. Details remain in the form while you complete it or retry a submission; your browser may also offer its own autofill or form-restoration features. Images, fonts and video are hosted with the website. Google Analytics and externally hosted Google Fonts are not included in our website code.

Hosting, form processing and spam prevention still involve technical processing by our providers. Links to services such as LinkedIn and BAFTA Albert take you to separate websites with their own privacy practices.

Your rights

Depending on the circumstances and lawful basis, you can ask to access, correct or erase your personal information, restrict its use, or receive a portable copy. These rights are subject to applicable conditions and exceptions. Contact info@lockernine.co.uk to make a request.

We respond without undue delay, normally within one month. Where the law allows an extension, such as for a complex request, we will explain the reason and revised deadline within the applicable period. We may ask for proportionate information to verify your identity where necessary. Requests are normally free; any lawful exception or reason we cannot fulfil a request will be explained, along with how to challenge our response.

Your right to object

You have the right to object, on grounds relating to your particular situation, where we use information on the basis of legitimate interests. We will consider your objection and stop the processing unless there are lawful grounds to continue.

We do not use website enquiries to make solely automated decisions with legal or similarly significant effects. Automated spam filtering may reject a submission; if you cannot use the form, email us directly.

Concerns and complaints

Please contact us if you have concerns. You do not need to complain to us first to exercise your right to complain to the UK's Information Commissioner's Office at ico.org.uk/make-a-complaint.

Changes to this policy

We will update this notice if our providers, data uses or arrangements change. The date above identifies the latest revision.
